Combined Salon Supplies Ltd ("CSS", "we", "us" or "our") respects your privacy and is committed to protecting the personal information you provide to us.
This Privacy Statement explains what personal information we collect, why we collect it, how we use and protect it, who we may share it with, and your rights under the Privacy Act 2020.
1. Information we collect
Depending on how you interact with CSS, we may collect information such as:
- Your name
- Business or trading name
- Email address
- Telephone number
- Billing and delivery addresses
- NZBN or company number
- Trade qualification information and supporting documents
- Customer account information
- Order and purchase information
- Information provided when you contact us about an order, return, warranty or other enquiry
- Your signature where required for an account application
- Information collected through our website, such as basic technical and usage information.
We only collect information that is reasonably necessary for the purposes for which we need it.
Where we ask you to provide information, we will generally tell you whether it is required. If you do not provide information that is necessary to process an order, create or manage an account, verify a trade account or provide a requested service, we may not be able to provide that service.
2. Trade account applications
When you apply for a professional or trade account, we may collect additional information to assess and manage your application.
This may include your business details, NZBN or company number, trade qualification information and supporting qualification documents.
We use this information to verify eligibility for a trade account, process your application and manage your account.
3. Information collected from other sources
Where reasonably necessary, CSS may collect personal information from sources other than the individual concerned, such as authorised representatives, business records, publicly available information or service providers.
Where we collect personal information from another source, we will handle that information in accordance with the Privacy Act 2020 and provide any notifications required by law.
4. How we use your information
We may use your personal information to:
- Create and manage your CSS customer account
- Process and deliver orders
- Process payments
- Manage trade account applications
- Verify trade qualifications where required
- Provide customer service and respond to enquiries
- Manage returns, warranties and other after-sales matters
- Maintain business, accounting and financial records
- Contact you about your orders, account or services
- Send trade promotional communications where you have agreed to receive them
- Maintain, operate and improve our website and services
- Protect the security of our business, systems and customers
- Meet our legal and regulatory obligations.
We do not sell or rent your personal information to other organisations.
5. Who we share information with
We may provide relevant personal information to service providers where this is reasonably necessary to operate our business or provide services to you.
These may include:
- Windcave, which processes online and card payments
- NZ Couriers, where your name, delivery address and relevant contact details are required to deliver an order
- Warp Speed Computers, which provides IT and website services to CSS
- Mailchimp, where applicable, for trade promotional communications
- Other service providers where reasonably necessary to provide our services, operate our systems or meet our legal obligations.
We only provide information that is reasonably necessary for the relevant purpose.
Some of our service providers may store or process information outside New Zealand. Where personal information is disclosed or made available overseas, CSS will take reasonable steps to ensure the requirements of the Privacy Act 2020 relating to overseas disclosure are met.
6. Payments
CSS does not store your full credit or debit card details.
Card payments are processed by our payment provider, Windcave. Payment information is handled in accordance with Windcave's own privacy and security practices.
7. Marketing communications
CSS may send promotional emails to trade customers who have chosen to receive trade promotions.
These communications may be sent using Mailchimp and include an option to unsubscribe.
We do not send promotional SMS messages or promotional newsletters to the general public.
8. Our website and cookies
Our website uses cookies and similar technologies that are necessary to support website functionality and provide basic information about how the website is used.
We do not use Google Analytics, Google Ads tracking, Meta Pixel or similar advertising tracking technologies.
9. Customer accounts
Customer account information is held within our website systems. Trade account information may also be transferred to our accounting and business systems where required to manage the account, process transactions and maintain business records.
10. CCTV
CSS may use CCTV at its premises for security, safety and the investigation of incidents.
CCTV information is handled appropriately and only accessed or used for legitimate business, security or legal purposes.
11. Keeping your information secure
CSS takes reasonable steps to protect personal information against loss, unauthorised access, use, modification or disclosure.
Access to customer information is limited to CSS staff and authorised service providers who need the information to perform their role or provide services to CSS.
CSS retains personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet our legal, accounting, warranty and business record-keeping obligations.
Different types of information may be retained for different periods. When information is no longer required, CSS will take reasonable steps to securely delete or destroy it.

Under the Privacy Act 2020, you have the right to request access to personal information CSS holds about you and to ask us to correct information that is inaccurate or incomplete.
